The following includes position descriptions for President, President-elect, Vice-presidents of Membership, Finance, Programs, and Publications.

President
The President is an annually elected officer of the Chapter and acts in the capacity of chief operating officer during his or her term of office. As an officer of the Chapter, the President is the head of the Executive Committee. In the year succeeding his/her term in office, he or she will serve as a member of the Executive Committee.

  • Manages Chapter affairs and acts as spokesperson for the Chapter.
  • Oversees the Executive Committee and standing committees.
  • Ensures compliance with Chapter policies, and maintains charter status with the International Society (ISPI).
  • Serves liaison to the International Society and ISPI Chapter Partnership Committee.
  • At his or her discretion, appoints additional officers, chairpersons, coordinators, or similar positions to aid him or her in the execution of his/her duties.
  • Establishes standing committees for Programs, Newsletter, Membership, and Finance or special committees for such activities as workshops.
  • Hosts annual strategic planning session with the Executive and standing committees, and executes the strategic plan.
  • Co-creates and executes a succession plan with the Executive Committee, and mentors the President-Elect.
  • Appoints an officer to fill the unexpired term in the event of the vacancy of an elected office during a term of office.
  • Writes articles (approximately 250 words) for the Chapter newsletter.
  • With the approval of the Executive Committee, may call special meetings of the Chapter members.
  • Is an ISPI (International Society) member, when installed.
  • Establishes a committee of Past Presidents and Past Executive Committee to review the NM ISPI Constitution and or By/Laws; presents proposed amendments to the Executive Board and Chapter Members for passage.
  • Moderates Executive Board meetings.
  • Co-Moderates monthly programs and meetings with the Programs Committee.
  • Prepares submissions for ISPI Chapter Awards of Excellence, as deemed by the Executive Committee.


President-elect
The President-elect is an annually elected officer of the Chapter and acts in the capacity of Vice-President during his or her term as President-elect and serves the President of the Chapter in the succeeding term of office. As an officer of the Chapter, the President-elect is a member of the Executive Committee.

  • Assists President in overseeing the Executive Committee and standing committees.
  • Serves as understudy to the President.
  • Is an ISPI (International) member, when installed.
  • Maintains chapter records necessary to complete yearly Chapter Profile.
  • Acts as President as needed and as delegated by the current Chapter President.
  • Serves on standing committees for Programs, Newsletter, Membership, and Finance or special committees for such activities as workshops, as deemed by the Executive Board.
  • CO-creates and executes a succession plan with the President and Executive Committee.
  • By October of each year, appoints, with due regard to geographic distribution, a Nominating Committee of not less than three members, and shall designate its chairperson.
  • Conducts Chapter elections.
  • Attends one meeting of each standing committee to become familiar with the workings of the chapter.
  • Attends Executive Board meetings.


Vice-president of Membership

The Vice-president of Membership is an elected officer of the Chapter. The term of this officer is one year. As an elected officer the Vice-president of Membership is a member of the Executive committee.

  • Chairs Membership Committee and coordinates volunteer support.
  • CO-creates and executes a committee succession plan with the President and Executive Committee.
  • Maintains New Mexico ISPI Chapter membership list and database.
  • Identifies Chapter members that are International ISPI members.
  • Prepares and distributes annual membership directory.
  • Coordinates with Finance Committee to process membership requests, applications and renewals.
  • Coordinates with Finance Committee to send renewal notices to current members.
  • Corresponds and follows up with individuals whose membership has expired, guests attending meeting for first time, other potential members and International members in area.
  • Welcomes and orients new members.
  • Prepares new member announcements for newsletter.
  • Generates and implements ideas to help create and retain membership.
  • Develops and distributes NM ISPI membership packets.
  • Coordinates recognition of membership committee volunteers and their accomplishments.
  • Co-hosts registration table at monthly meetings and programs.
  • Attends Executive Board and Membership Committee meetings.


Vice-president of Finance
The Vice-president of Finance is an elected officer of the Chapter. The term of this officer is one year. As an elected officer the Vice-president of Finance is a member of the Executive committee.

  • Chairs Finance Committee and coordinates volunteer support.
  • CO-creates and executes a committee succession plan with the President and Executive Committee.
  • Maintains accurate financial records of the Chapter treasury with a minimum quarterly reporting to the Executive Committee.
  • Ensures Chapter's tax-exempt status and maintains legal financial records.
  • Maintains bank accounts, credit cards, accounts payable, and accounts receivable.
  • CO-Hosts reception desk at monthly meetings and programs, and collects meeting fees and dues.
  • Coordinates with Membership Committee to process membership requests, applications and renewals; forwards membership applications to Vice-president of Membership and names of new members to membership committee database coordinator.
  • Coordinates with Membership Committee to send renewal notices to current members.
    Picks up mail from post office.
  • Attends Executive Board and Finance Committee meetings.


Vice-president of Programs
The Vice-president of Programs is an elected officer of the Chapter. The term of this officer is one year. As an elected officer the Vice-president of Programs is a member of the Executive Committee.

  • Chairs Program Committee and coordinates volunteer support.
  • CO-creates and executes a committee succession plan with the President and Executive Committee.
  • Plans and obtains meeting venue.
  • Arranges for meeting refreshments.
  • Arranges and sets-up meeting room to compliment program format.
  • Plans and obtains program speakers along with the support of the Program Committee; provides speakers with Chapter programs standards.
  • Corresponds and follows up with program speakers.
  • Prepares and distributes monthly announcements, including program speaker's bio, to advertise upcoming programs.
  • Moderates programs to include welcome and introduction of speaker.
  • Distributes program evaluations at monthly meetings.
  • Summarizes and distributes program evaluations to the Executive Board; ensures that
  • President Elect includes program evaluation in chapter records necessary to complete yearly Chapter Profile.
  • Prepares newsletter article (approximately 250 words) summarizing last month's program highlights.
  • Maintains communication with Los Alamos Study Group.
  • Coordinates recognition of program committee volunteers and their accomplishments.
  • Prepares submissions for ISPI Chapter Awards of Excellence, as deemed by the Executive Committee.
  • Attends Executive Board and Programs Committee meetings.


Vice-president of Publications

The Vice-president of Publications is an elected officer of the Chapter. The term of this officer is one year. As an elected officer the Vice-president of Publications is a member of the Executive committee.

  • Chairs Publications and Web site Committees and coordinates volunteer support.
  • CO-creates and executes a committee succession plan with the President and Executive Committee.
  • Creates, edits, and publishes monthly newsletter.
  • Prepares newsletter for distribution on Web site.
  • Maintains desktop publishing format for monthly publication.
  • Oversees maintenance and monthly updates Web site.
  • Oversees NM ISPI and Los Alamos Study Group Listservs.
  • Coordinates with Finance, Programs, and Membership Committees to solicits contributors, advertisements, and information for newsletter.
  • Ensures consistency with logo and styles of New Mexico ISPI publications.
  • Coordinates recognition of Publication Committee volunteers and their accomplishments.
    Prepares submissions for ISPI Chapter Awards of Excellence, as deemed by the Executive Committee.
  • Attends Executive Board and Publications Committee meetings.
